We are delighted to welcome you to stay in our home and hope you will have an enjoyable stay with us. We’ve tried to keep our terms and conditions to a minimum so if there’s anything you’re not sure about, please ask. By making a booking, you are confirming your agreement to these. Also, while we have set out standard arrangements below, please let us know of any particular needs and we’ll do our best to assist.
For our visitors who have not stayed in guest houses before, we would encourage you to think of it as if you were staying at the home of friends, rather than comparing the experience with staying in a hotel. We would hope that you would treat our home in the same way you would treat the home of your friends.
Deposit
No deposit is required, but we take credit/debit card details to secure your booking. No charges are made except in the case of cancellation, loss or damage (see below). We reserve the right to "pre-authorise" the card used to make a reservation (this means that the amount will be placed "on hold" by your bank - the money is not transferred to us but the funds will temporarily be unavailable to you). Bookings made by institutions/businesses may require full payment by invoice in advance.
Cancellation
While we don't take deposit, once your booking is confirmed, if you cancel 14 days or less before your stay, full payment will be due (cut off point, midnight on Day 15).
Please note that bookings made using our FBC2022 discount are to be settled in cash and are non-refundable once confirmed except in the case of government restrictions, when we are happy to reschedule your stay.
Bookings made by institutions/businesses are non-refundable once payment received.
We recommend that you take out insurance to cover yourself for any unexpected illness or travel emergency.
Payment
We ask that you settle your bill in cash because of the charges made by card processing agencies. We are unable to accept cheques/travellers’ cheques, PayPal or other types of payment.
Check in / Check out times
Our check in time is from
2.30pm to 8:30pm. Check out is
by 10.30am. Because of the need to implement additional measures as a result of COVID-19, we are temporarily unable to offer earlier check in, parking or luggage drop off. If your arrival is delayed, please call or text us to let us know in order that we can ensure someone is at home to meet you. Again, because of the current situation and additional precautions in place, we are unable to look after your luggage or offer extended parking after check out.

Pets
For the comfort of our guests, we are unable to accept pets.
Smoking
Smoking anywhere in the building is against the law and therefore not allowed. We have a seat outside the front of the house for our guests who do smoke. There will be an automatic charge of (minimum) two nights at the going rate if you smoke in your room, in order to cover cleaning costs and our inability to let the room. If we have to find alternative accommodation for guests who are booked to stay with us, the actual cost of alternative accommodation, plus cleaning will be charged.
General
Please note that your booking is for the number of individuals agreed when booking and that, for the security of other guests and to comply with fire regulations, other visitors are not permitted.
We reserve the right to make a charge against the card details used for booking (or invoiced to the institution/business making the reservation) in case of loss, unreasonable soiling, damage to the room or property or smoking (see above).
We reserve the right to cancel your reservation should it be necessary for health and safety reasons.
While there would be no charge in such circumstances, we are unable to accept responsibility for consequential losses incurred.
We would encourage you to take out appropriate travel insurance. We are unable to accept liability for guests' belongings.

Purpose: The information we collect is in order to ensure we are able to look after you well and follow up to ensure satisfaction as appropriate. Your information will not be shared with other parties or used for other purposes without your consent.
The processing is necessary for a contract we have with you to provide bed and breakfast accommodation and for our legitimate business interests.
NB: Due to COVID-19, we may be required to share your basic contact details with NHS Track and Trace or other relevant public health bodies.
The information held is:

· Dietary needs/allergies
· Payment card details
This will either have been received from you directly or through information you have provided via a booking agency/service.
We will send a copy of the information for you to check and confirm and you can request details of any personal data we hold at any time and request that this is erased if no longer needed.
Details are retained for a period of no longer than 12 months after the end of the financial year.
All prices are per night and include Bed and Breakfast in Alcuin Lodge York accommodation, parking and wi-fi - there are no hidden / additional charges. When comparing rates, please be aware that some guest houses in York make an additional charge for breakfast and/or parking.
